Q: Why do I need to prefix my shared lists with my institutional code?

A: Filtering of Lists in the Lists app isn’t great. Prefixing shared lists will help others know which lists are theirs.

Q: When should I make a Shared list?

A: A shared list allows others to view your list. If your list is only for your use, make it private. If you want others to use it, make it Shared. You can always change it later.

Q: Why do I have to limit the size of my query results to 25,000 records?

A: Lists is still in development and has some performance issues. Very large lists may cause performance problems.

Q: Can I just play around with Lists?

A: Yes! But please to it in fivecolleges-test

Q: I see data from all Five Colleges in my query? How do I only see my Institutions?

A: Query results will always return all the data from our shared database. Some record types will have ways to limit data to your institution, while others will not. We are awaiting the development of new search criteria that will make this easier.

Q: Why doesn’t data in my list doesn’t match the app?
A: Lists is still in development and there are some rough edges still. Some queries may be getting data in a different way than the App searches. When using list results for decision making, always double check.

Q: I created a list in the previous release, why doesn’t it work now?

A: We are still contending with an issue where if the data in the list app changes, old lists can break. It’s a known bug and we hope they’ll have a fix soon.

Q: I can’t Save my list? What’s wrong?

A: Before you can save a list, first you have to give it a name. After you craft the query, you cannot run it on the full database until you have run a test query first.

Q: Lists is broken/behaving strangely

A: Report it to #folio-bugs

Q: There’s a new feature I’d like to see in Lists, how do I get that added?
A: Sara Colglazier and Jennifer Eustis are happy to collect use cases and bring them to the FOLIO Lists SIG.
