GOBI Order Details
This document is a guide for filling out the new GOBI Order Details form when you make book and e-book selections.
There are only two sub-accounts that liaisons should use:
1850-10 for print books
1050-20 for e-books
Only use the UMMONO Fund Code (UMMONO maps to the Monographs fund/budget in FOLIO)
Location would be one of the following:
UMWWW – for e-books
USGEN – for SEL books
UMGEN – for du Bois books
You should put as much detail in the note to acquisitions as you can to convey if a book is to be held for someone or someone just wants to be notified upon receipt – action, name, email, that sorta thing. Leave it blank if you have nothing to say.
Expense Class is new, but is now very important for paying bills via the University accounts payable system. It also helps us keep track of where we are spending money. Below is a key to use for selecting an expense class. I’ve highlighted the ones liaisons would use most often:
UMAPPROVALS = UM Approval print books
UMBODEM = UM Books on Demand print books (ILL Books on Demand)
UMMONO = UM Monographs print books selections (general monographs selections)
UMNYTIMES = UM New York Times print books (from NY Book review and best-sellers lists)
UMOTEBOOK = UM One-Time E-Books selections (general e-book selections)
UMOTEBOOKBODEM = UM One-Time E-Books – Books on Demand e-book selections
UMOTEBOOKRESERV = UM One-Time E-Books – Reserves selections
UMRESERV – UM Reserves print books selections
The vendor should always be GOBI2
Material type should match the thing purchased:
E-Book
Book
Serial
Initials should be entered automatically by the system based on your user account credentials
The rest should be self-explanatory.
Templates: You can create Order Details templates in GOBI, which might make things more efficient for you. In GOBI, under the Options header dropdown, select “Manage Templates”. The screen should now show a list of Template Names - if there are no templates listed, you can create one. You create templates by selecting “New” from the manage template menu (top center of screen). It should be pretty intuitive. I would suggest liaisons who select in GOBI create at least two templates – one for e-books and one for print books. Once you have templates, when you are making selections in GOBI you would just select a template and edit it as needed.
