Purpose:

Define processes and roles for creating new users

Description:

All users in FOLIO require permissions to authorize their work in FOLIO modules.  The maintenance of permissions and users permissions is an ongoing process.

Specific permission sets are referenced in this section.

• User Three is the name of the permission set that grants users the ability to assign permissions to other users

• “Admin” permission sets are top level permission sets that end with “Admin”  They allow changes to tenant level configuration

• Student Worker is a set with no permissions, but enables local administrators to identify users who have been given permissions as student workers

Scope:  Assigning permissions to users through the Users FOLIO module

Roles:

Five Colleges Library System Coordinator (FCLSC):  

• Maintain permission sets so that they offer the same level of access through FOLIO upgrades

• With the input of Five College FOLIO Committees, update permission sets to meet current needs

• Assign User Three permission set to designated local user administrators

• Manage FOLIO integration users

FOLIO Local User Administrators:

• Grant appropriate permission sets to library staff and student workers

• Remove permissions from library staff and student workers as the leave or take different roles

Policies for Assigning Permission Sets

• Users are to be assigned permission sets

  • Individual permissions may change in releases. If a user is assigned individual permissions, permissions cannot be managed as a group

• The User Three permission set is assigned only to designated FOLIO Local user administrators

  • FOLIO Local user administrators may not grant the User Three permission set to other users

•  Admin sets are not to be assigned to users

  • Admin sets contain options to modify tenant level settings

  • Admin sets may be assigned by the FCLSC to users on a temporary basis for individual projects

• FOLIO permissions are never to be granted to an unaffiliated user

• Users should be assigned permission sets needed to perform their assigned work. Users should not be granted sets beyond what they need

• FOLIO integration users are created and given permissions by the FCLSC

• Student workers are to be assigned the “Student Worker” permission set for easy identification
